Fraser Coast Tourism & Events is a not-for-profit organisation dedicated to boosting the Fraser Coast tourism economy through destination marketing, trade and industry development, event delivery and visitor services. This expression of interest covers the 2024 FCTE Event delivery program including: Relish Food & Wine Festival, Mary Poppins Festival, Hervey Bay Whale Festival, Fraser Coast Flavours and Food n Groove Fridays.

BEFORE YOU BEGIN:

  • Read and agree to the Terms & Conditions document available here.
  • Read through this form beginning to end to ensure you have all supporting documentation at hand.
  • Have a minimum of 2 images of your products and site presentation ready.
  • Have a digital copy of your Fraser Coast Regional Council Annual/Short Term Food Stall Licence or Mobile Food Business Licence ready.
  • Have digital copy of your site plan ready.
  • Have a digital copy of your $20M Public Liability Insurance certificate ready.

Fraser Coast Tourism & Events (FCTE) act as a support to other local community groups planning events, from time to time FCTE have requests for stallholder contacts.

SIGNATURE EVENTS

Event specific information (eg pricing) will be sent to stallholders on acceptance into each event.

Vendor acceptances will occur in two stages, with first round acceptances into the accepted pool of vendors and a second round of acceptances into the individual events.

SELECTION CRITERIA / PRODUCTS

The approval process for stallholder selection will be based on the below criteria and those who can meet the brief and criteria will be given preference. Please provide details to demonstrate how you meet this criteria.

Please provide a comprehensive summary of products or services to be sold or displayed from your stall. Only products listed below will be permitted to be sold from your stall.

HEALTH LICENCE

A digital copy of your Fraser Coast Regional Council Health Licence MUST be provided with your Expression of Interest.

  • If you trade from a marquee or gazebo an Annual or Short Term Food Stall license must be obtained from Fraser Coast Regional Council.
  • If you trade from of a Mobile Food Business (MFB) and have a licence from another issuing Council, a digital copy of this must be supplied.

All food vendors please note:

  • A copy of your health licence must also be on display in your stall.
  • To comply with the Fire and Rescue Service Act 1990 and the Building Fire Safety Regulation 1991, food vendors must have at least one 20B (E) Dry Chemical Powder (or equivalent) fire extinguisher.
  • All food vendors must comply with current food and safety regulations.

STALL SITE

Please note:

  • Stallholders must supply own equipment: marquees, tables and chairs etc. as they are not available for hire.
  • Marquees must be secured using weights only, no pegs.

PUBLIC LIABILITY INSURANCE (PLI)

Stallholders must provide proof of a Public Liability Insurance Policy for an amount of not less than $20,000,000 and note the interests of Fraser Coast Tourism & Events whilst conducting their activities on land controlled or the responsibility of Fraser Coast Tourism & Events.

OTHER INFORMATION

VOLUNTEER/STAFF MEAL PROVISION

Fraser Coast Tourism & Events has implemented a program to show appreciation to the event volunteers/staff who offer their time and effort to ensure the successful event. As part of this initiative, we ask that each stallholder offer meals to volunteers/staff on the day of the event.

How this program works:

  • FCTE will print dated meal vouchers that are distributed to volunteers/staff during the event.
  • Stallholders are to exchange vouchers for meal and/or drink (recommended value up to $15) during the event.
  • If stallholder wishes to seek financial compensation from Fraser Coast Tourism & Events, vouchers must be retained. Vouchers are to be photographed or scanned and sent to events.accounts@fcte.com.au along with tax invoice issue to Fraser Coast Tourism & Events. Fraser Coast Tourism & Events will pay up to $15 (ex GST) per voucher up to two weeks after event date.
  • Please note that you may not be presented with any meal tickets during the event.

EXCLUSIVITY

Fraser Coast Tourism & Events cannot guarantee product/services exclusivity to any stallholder as we aim to enhance attendee experience and will endeavour to provide a variety of vendors to suit the demographic of the event. Fraser Coast Tourism & Events will endeavour to not allocate a similar vendor next to your site, however, you may be in close proximity to a similar vendor.

The number of stall sites may be limited according to the specific requirements and restrictions of the event location. Sites will not be offered to stallholders who have an outstanding payment or unresolved issues regarding previous FCTE events.

ENVIRONMENTALLY SUSTAINABLE PRACTICES

Fraser Coast Tourism & Events is committed to reducing the environmental footprint at our events and aims to lead the way in reducing waste, implementing eco-friendly practices and engaging with contractors and stallholders that are similarly focused.

As part of this, it will be a requirement of all stallholders to implement sustainable packaging and foodservice disposable solutions within each event at a minimum this is to be in line with current legislative requirements.

Current legislative requirements:

  • All plastic bags under 35 microns were banned by the Queensland Government (effective 1st July 2018).
  • All single use plastics including straws, stirrers, cutlery, plates & polystyrene were banned by the Queensland Government (effective 1st September 2021).
